How to Use the Dentrix Unscheduled Treatment Report (and a More Efficient Way to Follow Up)
One of the easiest ways for treatment to slip through the cracks is when a patient leaves the office without scheduling. They may intend to call back, need to check their schedule, or simply forget.
Fortunately, Dentrix includes a built-in report that helps identify these patients so your team can follow up and get needed treatment back on the schedule.
In this article, I’ll show you how to access the Dentrix Unscheduled Treatment Report, explain exactly what it does, and then share the workflow I use with Weave to make treatment follow-up even more efficient.
What Is the Dentrix Unscheduled Treatment Report?
The Unscheduled Treatment Plan Report is a built-in Dentrix report that displays patients who have treatment planned but have not scheduled an appointment.
It’s a great report for identifying patients who may need a follow-up call or text after leaving the office.
This allows your team to:
- Improve treatment acceptance
- Reduce unscheduled production
- Help patients receive recommended care
- Keep the schedule full
How to Access the Dentrix Unscheduled Treatment Report
In Dentrix Office Manager, navigate to:
Office Manager → Reports → Lists → Unscheduled Treatment Plans
From there, you can customize the report by selecting:
- Provider
- Date range
- Treatment plan amount
- Detailed or condensed report
- Include or exclude referred procedures
- Include or exclude continuing care procedures
After selecting your criteria, Dentrix generates the report for review.
What Information Does the Report Show?
The report displays important information including:
- Patient name
- Recommended procedures
- Date the treatment was planned
- Total treatment amount
This makes it easy to review patients who still need treatment and begin contacting them.
One Important Limitation
One detail that often surprises offices is that not every patient with unscheduled treatment appears on this report.
If a patient has already entered Dentrix’s scheduling process—for example:
- A broken appointment
- A canceled appointment
- Wait/Will Call status
they will not appear on the Unscheduled Treatment Plan Report.
Instead, this report focuses on patients who were presented treatment but never scheduled in the first place.
Those patients are often some of the highest-value follow-up opportunities because they haven’t entered your scheduling workflow yet.
Following Up Using Dentrix
Once you’ve generated the report, your team can begin contacting patients.
Most offices will:
- Open the patient’s Family File
- Review their treatment plan
- Locate their phone number
- Call or text the patient
- Document the conversation
- Repeat the process for every patient
The report itself is very useful, but it’s still a fairly manual workflow.
A More Efficient Workflow Using Weave
While I always recommend learning how to use Dentrix reports, I personally prefer managing treatment follow-up inside Weave’s Opportunity List.
Instead of working from a static report, Weave keeps your treatment opportunities updated automatically.
Inside the Opportunity List, you can:
- View unscheduled restorative treatment
- Sort and filter patients
- Call patients directly
- Send text messages
- View communication history
- Add follow-up notes
- Create reminders and tasks
Everything stays in one place, making it much easier for your team to stay organized.
Why I Prefer the Weave Workflow
The biggest difference is efficiency.
Dentrix Workflow
- Generate report
- Print or view report
- Search for each patient
- Open Family File
- Contact patient
- Document conversation
- Run a new report later
Weave Workflow
- Open Opportunity List
- Contact patients directly
- Add notes
- Create follow-up reminders
- Continue working from the same screen
Because the Opportunity List updates automatically, you’re always working from current information instead of repeatedly generating reports.
Small Follow-Ups Add Up
It’s easy for treatment plans to accumulate over time.
Even a smaller practice may have dozens of unscheduled treatment plans waiting for follow-up.
Having a consistent system for reviewing these patients each week can improve:
- Patient care
- Schedule utilization
- Case acceptance
- Production
- Team efficiency
Final Thoughts
The Dentrix Unscheduled Treatment Report is one of the most valuable reports built into Dentrix, and every office should know how to use it.
However, if your practice wants to simplify treatment follow-up even further, Weave’s Opportunity List offers a faster and more organized workflow by combining patient communication, notes, reminders, and tracking into one place.
Understanding both systems allows your team to choose the workflow that best fits your practice.
